Community & Commercial Events

The Community & Commercial Event Team at Utah Tech University partners with local organizations, businesses, and individuals to host impactful events on campus. Serving as a bridge between the university and the community, the team manages everything from conferences and banquets to concerts, performances, and large-scale gatherings.

We are thrilled to have you host an event here at Utah Tech University. In efforts to create a seamless planning process please fill out our event request form, as it keeps our team organized with all the information needed to execute your event.

Important Scheduling Reminder:

Due to the academic and on campus scheduling of student events, all community event requests for student and academic spaces are required to wait to book during certain times of the year. Please see the schedule below for reference.

Events Scheduled for Fall Semester: August-December 2025 // Booking Available in July 2025

Events Scheduled for Spring Semester: January-May 2026 // Booking Available in December 2025

*Requests that are submitted prior to these dates will be placed as a scheduling hold and booking confirmations will be communicated to you via UT coordinator*

What to Expect When Planning With Utah Tech

Take a look through the types of events we assist the community in planning. To make for a smooth process here are a couple items to keep in mind for your event!

Connect with Our Team

Once your event request is submitted, our Community & Commercial Events Team will reach out to confirm details like catering, layout, production, and ticketing. After your event is added to the scheduling system, we’ll prepare a customized cost estimate and event agreement contract—please allow 5–7 business days for complex setups.

Catered Events

Planning to serve food at your event? Explore the UT Dining Catering Menu for a variety of breakfast, lunch, and dinner options. Your event coordinator will handle the formal request, and you’ll receive a separate catering contract for review and signature.

Ticketed Events

For events requiring ticket sales, Utah Tech partners with PACIOLAN to provide flexible ticketing solutions. To ensure a smooth process, the UT Ticket Office requires a signed Event Agreement Contract at least six weeks prior to your on-sale date, along with the necessary financial forms

The following documents are required:

  • Current W-9 form
  • Direct Deposit Form (varies per client payout preference.)

Nonprofit & Tax Exempt Organizations

Non-profits and specialty organizations may need to provide additional documentation, such as a TC-721 tax-exempt form, IRS determination letter, or a Certificate of Insurance (COI) for larger or high-risk events. These forms help us process your event efficiently and ensure compliance with university policies.
